Very often you can hear that it is advisable to convert your business documents to PDF. But then a question appears “why?”. Here we will try to explain the benefits of using PDF in document workflow.

PDF (Portable Document Format) is a standard format for electronic documents. Nowadays PDF files are used in management, financial, juridical spheres as well as in publishing, education etc. It is used to spread faxes, reference information, letters, messages, reports, etc.

PDF is always shown in the same way and is identical to the original document. This is one of the advantages of its usage – PDF doesn’t depend on software and hardware and can be view on more that 20 operating systems. So if you convert your reports created in Word to PDF it will be reflected to all interested bodies the same way.

PDF documents provide security and can be protected with passwords. You can also plot on documents images, watermarks, links and comments. It is possible to prohibit modifying and printing of documents that are in PDF.

PDF documents are several times smaller that original documents. Thus converting reports in Word, HTML pages, SVG maps and other documents to PDF makes them compact and allows exchanging them quicker.

    You can convert the PDF file to Word or Excel, edit it, and then convert back to PDF if needed. It is very quick and easy.

  2. From the meaning of the acronym PDF itself, because it’s PORTABLE in that said file format. This is a very interesting information even if I do know some points. Thanks alot, this will surely help me out since I’m currently working with PDF documents at the moment(mostly sharing them over at scribd/gdocs..)
